Maintenance/Customer Service Representative

The Maintenance/Customer Service Representative reports to the Fleet Maintenance Manager. You will be responsible for overseeing all fleet maintenance administration for operations including: reconciling purchase orders, work orders, A/P administration, and ensuring accuracy in software management programs.
 
What will you do?
  • Process invoices/charge backs and forward for appropriate approvals;
  • Coordinate with vendors regarding invoicing , payment inquiries and discrepancies;
  • File paperwork, order/maintain office supplies, and other administrative duties;
  • Daily, reconcile all maintenance staff time with sign in sheet and E-Zone electronic application;
  • Bi-Weekly reconcile all hours for staff, submit to FMM for authorization and process accordingly;
  • Bi-Weekly reconcile all contractor work orders to ensure all have been submitted to front office for filing and billing;
  • Enter hour meter readings into RTA from DVIR sheets/GPS;
  • Enter all required repairs into Daily Repair Tracking Log from DVIR sheets and ASL units;
  • Update truck greasing tracking file from staff submitted work orders;
  • Accurately create work orders in RTA for trucks greased the day prior, printing all work orders, separating contracted trucks for processing and filing company trucks accordingly;
  • Create work orders in RTA for all work completed by outside vendors with detailed work lines, code as required, print and have FMM validate and authorize;
  • Assign purchase orders for parts required for trucks, office supplies, staff PPE clothing and building repairs in both RTA and Great Plains;
  • Identify parts required for inventory, source out best price and availability, report to FMM and order accordingly;
  • Ensure correct delivery is made, enter parts in inventory if established, and create an electronic location in RTA if not established;
  • Review for accuracy, code and batch invoices for services and parts and process accordingly;
  • Daily review charge back internal work orders submitted by FMM, enter all internal work orders on Contractor Tracking File;
  • Other duties as assigned by manager.
 
What will you bring?
  • Completion of high school or GED equivalent;
  • Post-secondary education an asset;
  • 1-2 years previous experience working in a related office/administrative role;
  • Strong data entry skills;
  • Proficient with MS Office Suite, particularly Excel, Word and Outlook;
  • Strong skills in using accounting software (Great Plains is an asset);
  • Experience in dispatch software (Route Optics is an asset);
  • Knowledge of RTA (Fleet Maintenance software) or some mechanical knowledge considered a definite asset;
  • A customer focused approach to dealing with internal and external stakeholders;
  • Strong organizational and time management skills to function in a deadline-driven environment;
  • Strong communication and interpersonal skills, and the ability to work well with employees at various levels of the organization;
  • Ability to multi-task, strong attention to detail and can work well under pressure to meet deadlines;
  • Valid driver’s licence;
  • Some experience in the waste management and recycling industry an asset;
  • Ability to work independently and as part of a team.
